Board of Directors Meeting Minutes

CALL TO ORDER: 4:30 pm
Because there was no quorum at 3:00, several issues were discussed before the call to order. Notes for that informal meeting are included in these minutes.
Minutes for the October 28th meeting were read. Several errors were noted and amending the minutes was suggested. Cheryl Cardoza offered to make the necessary corrections and moved to accept the minutes contingent on amendments. The motion was seconded by Joyce Hall and carried unanimously.
Chairman: Carol Williams reported on contributions that came in to help reimburse Frank Schnorbus’s expenses ($360) for the HSLDA Conference. So far, we have received $30. Carol asked if we wanted to match or exceed the amount donated so far. Gina Hawley suggested that NNHS pay him $100. Irene Rushing suggested NNHS only match donations. Joyce Hall suggested that we could match to $100. The issues of matching vs. flat donation were discussed. Carol pointed out that matching is better because it shows that we are contributing as our members would like us to. Gina offered to donate $20. Carol offered to donate $50 bringing donations for Frank to $100. Carol moved that NNHS match the $100 donated to help Frank Schnorbus. Irene seconded the motion and it carried unanimously. Carol said she would get Cyndi Earl to write Frank a check for $200.
Treasurer: There was no Treasurer’s Report.
Editor: There was no Editor’s Report.
Conference Committee: Irene Rushing reported on her inspection of the Hug High School site for the conference. She was disappointed in the facilities because the space for vendors seemed too small, but was going to find ways to make it work. She also reported that the first meeting of the Conference Committee was cancelled but that she was planning another for January 15, 2003.
NEW BUSINESS:
Newsletter Policy Changes: Changes to the Newsletter Policy were discussed before the Call to Order. Specific areas of concern included adding a clause about advertisers following non-profit rules for the USPS, ambiguities in the language that fail to discern editorial and advertising policies, and issues about editing submissions. Joyce Hall volunteered to revise the policy and bring it back in January. Irene Rushing and Gina Hawley both noted issues about editing submissions without informing contributors. Gina suggested that Joyce look at policies for the Ecclectic Homeschooler for ideas on how to revise the policy. Joyce promised to do that.
Problems with Getting a Quorum: This discussion took place before the Call to Order and is considered informal. Because a Quorum was difficult to achieve at this meeting, members suggested that Carol should call Cindy Lawrence and ask her if she is still interested in serving on the Board since she has missed three meetings in a row. Carol agreed to do this.
Welcome Letter Draft: Carol presented the Welcome Letter Draft before the Call to Order so all suggestions were considered informal. Gina Hawley and Lynn Chapman suggested using bullets to organize information. Cheryl Cardoza suggested that the Merchant Discount information should follow the welcome instead of opening the letter. Carol offered to revise the draft and resubmit it at the January meeting.
Scholarship for Mom in Trouble: Lynn Chapman was contacted by the School District about a Mom who wants to homeschool, but has had a stroke. All contact between Lynn and this person has been through the District and the Truancy Officer who offered to take her curriculum materials. Gina Hawley offered to provide 8th grade curriculum materials, but stated her concern about providing materials without knowing who this person is or if this request is legitimate. Gina suggested that two consultants should meet with the potential homeschooler to discuss homeschooling options and the support network function of NNHS. She also pointed out that if the person in question speaks Spanish, Irene Rushing could serve as one of the consultants. Lynn Chapman suggested that at the very least we offer a scholarship for the membership dues to this person. Gina Hawley moved to offer a scholarship for membership dues to this person. Joyce hall seconded the motion and it carried unanimously.
Membership Directory Policy: Carol distributed the Membership Directory Policy for discussion at the January Meeting.
Incentives to Increase Board Meeting Attendance: Gina Hawley suggested several ways to increase attendance at Board Meetings of Members at large. 1. We could offer a Gift Certificate to the Board Member who brings the most people to the Meeting. Whether children or spouses counted was discussed. 2. We could take a picture with an empty chair at the meeting and put it in the newsletter. (This is your…). 3. We could offer Guest Speakers or Activities every month. 4. We could serve refreshments. 5. We could offer an activity for children. 6. We could make the Board meeting preface a workshop. Gina’s suggestions were debated. Carol suggested a speaker day every month in addition to Board Meetings. Joyce Hall suggested asking Kathy Heslop to speak about Science Fair Projects the 2nd week of January (Friday, January 10). Several names for Speaker Night were suggested: Forum. Homeschool Happening Night… No action was taken because this was discussed before the call to order. During the official meeting, an incentive for bringing members was discussed. Gina Hawley moved that Carol purchase a $25 gift certificate from Appleby’s as an incentive for the Member who brings the most adult members. Children were not included. Someone seconded the motion and it carried unanimously.
